What if I have small group of students?
We can accommodate as few as 15 attendees. However, we encourage our clients to work with another teacher/class or group in your school/community to achieve groups of 30 to 40 students, to capitalize on per person pricing reductions.
Are meals included in the trip costs?
In efforts to keep trips as affordable as possible for the group, typically only breakfast will be included in the trip costs. There may be campuses that will provide lunch for the group, but this will be handled on a trip by trip case. During the initial consultation, the group leader can specify if they want all meals included for the group (additional cost) or not.
Can I cancel my trip after booking?
Yes, a trip can be cancelled and fully refunded if it is before the deposit has been received. After the deposit has been received, a trip can be cancelled by the group leader. Please refer to the Cancellation/Refund policy for more information.
What safety measures are in place during the tour?
Your students’ safety is one of our prime priorities. In addition to the chaperones helping keep a check on everyone, we utilize RFID technology to ensure all attendees are accounted for as we move from place to place. Our College Express Tour Ambassador will also reinforce expectations and accountability.
How far in advance do we need to book a tour?
Typically, the longer the trip, and the more attendees, the earlier a group needs to book. 6-12 months is an ideal time frame for planning a multi-day student trip. This allows all attendees enough time to take advantage of flexible payment options.
When is the first payment due?
We understand the need to secure sufficient buy-in from the group before financially committing to a tour. However, a trip date will not be removed from our calendar until the booking fee is paid.
Am I able to modify the tour date?
While we do try our best to accommodate minor changes to the itinerary within the given date range, once the deposit has been paid, dates can not be changed.
How long is a typical tour?
Most tours are 3 or 5 days long.
Should the students bring spending money?
While most of the students’ needs will be met through the tour, many students choose to bring spending money.
Where will the students stay while travelling?
Because of the intense nature of the tours, we recognize that students want to be comfortable after a long day (as do we!). All accommodations booked through College Express Tours will be 3.5 stars or better. Also, as safety is a primary concern, we only choose hotels that have first-class security.
What are the transportation arrangements?
All of our tours use reputable, well-established tour bus companies. Buses range in size depending on the tour from 20-passenger coaches to luxury 53-seat motorcoaches. All buses have air conditioning, TVs and DVD players, GPS navigational system and most have toilets. We want students to be comfortable as we spend considerable time on the buses traveling between the various destinations.
What if there is a college in the vicinity that is NOT on the tour itinerary?
We work very diligently planning the itinerary to maximize exposure of all the colleges in a nearby area. Sometimes, we are unable to do so due to scheduling conflicts. Becuase student safety is of the utmost priority fo rus, students (even with a chaperone) are NOT permitted to schedule their own tour at schools that are not on the College Express Tour route.
Are parents allowed to go along on the tour?
We do allow for 1 free chaperone per 10 students. These can be parents, teachers, counselors, etc. If more parents want to attend, they will be considered attendees and must pay the student price.
What age group are your tours meant for?
While we can plan a college tour for middle school-aged children, our tours are geared towared high school-aged individuals.
Do we have to do one of the tours from the site or can we change the itinerary?
You ABSOLUTELY can change an itinerary to accommodate your specific group! We will discuss where you want to travel after you’ve completed the inquiry form.
Do you offer discounts for large groups or repeat customers?
We do run special offers periodically. Large groups (30-40 students) currently get the best per person pricing.
Do we get to meet our Ambassador before the trip?
Many times our Ambassadors will join use on a school visit, but that is not gauranteed. Once your Group Ambassador has been selected, we will email the group leader their profile.
What if a student can no longer go on the trip? Will they be refunded?
College Express Tours works directly with the group leader, not the individual students in the group. As such, attendee deletions will be handled by the group leader. Parents should make sure they understand the refund policy set forth by the group/organization putting on the trip.
